Design and Production Assistant

Job Summary:

Assist Design & Production department with tasks related to day-to-day operations.

This is a temporary position ending on July 31, 2019.


  • Process invoices; maintain department invoice- and purchase order databases; assist Production staff with processing of final costs; close out production files according to established procedure.

  • Assist with implementation and migration of Design and Production databases and resources to a single, integrated database for Books Division.
  • Conduct digital file research (working with vendors to determine availability and currency of files).
  • Assist with monthly reprints.
  • Update Production Access database with book specification information.
  • Organize and maintain Books Production files.
  • Assist Design staff with art scanning.
  • Assist with maintaining the Books Production vault/library.
  • Assist department head with miscellaneous tasks related to book transmittals and file releases.
  • Assist department staff with miscellaneous projects.
  • Assist with photocopying.


  • High degree of organization and the ability to handle many projects required.
  • Excellent interpersonal skills in relating to peers and supervisors required.
  • Excellent written and verbal communications skills required.
  • Experience with PC platform required; experience with Macintosh platform preferred.
  • Experience with Microsoft Office (particularly Access) required.
  • Experience with Adobe Creative Suite (Adobe InDesign, Adobe PhotoShop, and Adobe Acrobat) preferred.
  • Experience with FileMaker Pro preferred.
