Administrative Assistant 1

The Department of Economics provides students the basic knowledge required to understand how economic problems are approached, and imparting the basic qualitative and quantitative tools used by economists to solve economic problems. This Department strives to better serve the needs of their undergraduate and graduate population by engaging in research and continuously improving the design of academic programs, curriculum and course offerings.
Within this department the Administrative Assistant 1 plays an integral administrative role supporting this mission. Critical administrative tasks include but are not limited to:
-Secretary to the Chair
• Manage calendars and deadlines
• Be first point of contact for Chair
• Coordinate logistic for meetings, travel, and visitors
• Communicate with individuals from other offices, departments, and organizations.
• Draft email requests & notifications and proofread correspondence
• Coordinate dissertation presentations, submissions, & paperwork for Chair’s PhD students
• Assist with special department assignments
-PhD Program Administrator
• Ensure accuracy of student data and keep database, personnel / academic files up-to-date
• Guide students, once they are admitted to the program, through to commencement and oversee their administrative advancement throughout each stage
• Facilitate employee paperwork (e.g. TA Appointment offer letters, HR forms, tax forms and immigration paperwork)
-Office Management / Department Support
• Oversee the daily operations of the main office / department
• Manage work flow and streamline processes
• Interact daily with faculty, staff, & students in person, email and/or by phone
• Prepare expenses for reimbursement of travel and moving expenses for faculty and visitors
• Assist ATC with assignments
-Fiscal Management
• Pay all department bills and record transactions in departmental database
• Initiate processes as appropriate (IDIs, UBF disbursement requests, e-reqs, etc.)
• Review state OTPS and UBF account balances
• Reconcile transactions and monthly P-card statements
